What is clearance?
Clearance is a software product from LM IT Services AG that protects your company when using artificial intelligence. Clearance automatically and regularly checks your entire document repository, anonymizes it or replaces personal data according to fixed rules, and stores the revised version in a dedicated AI area. Your AI only works with these verified versions; your original documents remain unchanged.
Isn't Copilot already configured securely?
The copilot adheres to your permissions, and that is exactly the risk. If the rights have grown over the years and are too broad, the copilot sees everything he is allowed to see, and that is often too much. Clearance therefore provides double protection: confidential information is removed from the content, and your existing permissions also apply in the AI field. What is no longer included in the reviewed version cannot be found by AI either.
Why is the processing of documents abroad a problem?
Because you often don’t know where your data ends up. Many AI services process requests in data centers whose location you do not know or cannot influence, often also outside the EU. If personal data does end up there, it quickly becomes complicated from a data protection perspective. Clearance ensures that your AI only sees refined versions of the data, in which such data is no longer included.
Does Clearance support data protection under the GDPR?
Yes. Clearance helps you to design your AI usage in a data protection-compliant manner: Personal data is removed or replaced according to comprehensible rules, sensitive cases are left to a human, and any disclosure is recorded in the register.
Whether your AI usage fully meets the requirements of the General Data Protection Regulation (GDPR) depends on your entire setup. We will discuss this together with you regarding data protection.
How reliably does Clearance detect sensitive data?
Clearance does not rely on a single pass. After each run, there is a countermeasure in the image; unsafe hits end up in the review folder, and sensitive cases such as health data are always cleared by a human. The detection itself works completely without artificial intelligence, following fixed patterns, rules, and lists of names.
Does everyone in the AI department look at all the documents?
No. Clearance takes over the access rights to your originals in the AI domain. Through Copilot and other AI applications, each employee sees only the edited versions of the documents to which they have access in the original as well.
Where are my documents processed?
In Germany. Your originals remain in your existing storage facilities. For processing, Clearance transfers the documents to our environment in Microsoft Azure in Germany. There they are only stored in the intermediate storage during processing and are subsequently deleted. Upon request, we can also operate Clearance in your own environment.
What happens to my originals?
Nothing. The storage location, content, and permissions remain as they are. The originals merely receive the „not for AI“ label and can thus be excluded from AI use via policy. If an original changes, Clearance automatically creates a new, adjusted version.
Do I have to upload documents individually?
No. Clearance connects to your repositories and automatically checks the entire repository on a regular basis, including new and changed documents. Many other solutions work file by file; with Clearance this is not necessary. For a quick test, you can still drag individual files into the window using the mouse.
With which AI applications does Clearance work?
With everyone you limit to the AI field: Microsoft Copilot, ChatGPT, Claude, or your own AI agents. They all have access to the same tested versions. How this is implemented concretely for your tools, we will discuss together at the start.
What file formats and folders does Clearance support?
The common file formats and document formats in Microsoft 365. Clearance works with SharePoint, OneDrive, and Teams, for example. We will discuss with you which other sources are connected at the start. PDF, Word, Excel, and CSV are processed; scanned documents are included with text recognition, along with comments and file properties. Clearance recognizes content in German and English as well as identifiers from Germany, Austria, Switzerland, Great Britain, and the USA.
Clearance currently does not process emails and OneNote notebooks automatically. However, they can be exported or linked separately.
Do I need Microsoft Purview?
No. Clearance does not replace Purview; rather, it complements it. Purview controls who can see what. Clearance ensures that there are no more sensitive documents for your AI. Clearance uses existing confidentiality labels from Purview. We will review together which licenses are appropriate in your environment before launch.
How quickly is Clearance ready for deployment?
