In the process of calculating travel costs and expenses for a customer's employees, these were carried out by the HR department. Two employees each spent around half a day of their working time twice a week on this.
Our optimisation
We have replaced the forms for the company's employees with digital input masks on a SharePoint. The data entered in these forms is now sent directly to the line manager and authorised. This approval triggers the payroll process and automatically transfers the data to the HR management system. All underlying processes (filing of the approval, filing in the personnel file, etc.) are carried out automatically in the background. The HR department can carry out a visual check of the results as required, but no longer has to. The authorisation and payroll process is therefore audit-proof and fully automated.

What is a process analysis?
When analysing processes, we only look at the most promising company processes. It only takes a few hours for the process to be modelled and for the costs to be estimated. By asking specific questions, the expert can create a process model on site with those involved and have the accuracy confirmed. The observation is entertaining and builds familiarity with the project through direct participation.
When can we expect the first results?
We say: as quickly as possible! This also increases the confidence of your employees. We always try to find quick wins that are simple and quick to implement so that the added value for those involved is quickly visible. Depending on the desired project structure, which is agreed with you, this can happen after 2 months. However, some customers also want a holistic view of processes, so that all processes are first recorded in full and then processes are automated across departments. In this case, our development department becomes active in the last department after the process has been recorded. The faster we coordinate this, the faster you can expect implementation.
What is process optimisation?
If you digitise a bad process, you will end up with a bad, expensive digital process. This also applies to process automation. That's why we first look at your process and apply various methods to turn the existing process into a smooth, streamlined process. Not everything has to be redesigned. In most cases, small changes are sufficient for meaningful automation to take place. Work steps can be omitted, distributed differently or sequences in the process flow can be changed.
What is change management?
Change management encompasses all measures and activities that are necessary to successfully implement changes in an organisation. We humans are creatures of habit, which is why change has to be made palatable to us. A large part of this is participation and communication. We therefore take care of large parts of the management of this change so that afterwards not only does everything work, but is also accepted.
Is the process optimisation divided into phases?
We are always guided by a project approach that works well but is not rigid. It must also fit your company. Nevertheless, it has proven successful that we define the goals together, name processes and get to work immediately in order to achieve good results quickly. We identify the best processes from a strategic point of view and create an immediate target model. This is followed by direct implementation by our development team so that it doesn't take months for the first signs of progress to become visible, but so that direct added value can be recognised through the involvement of your employees.
Which processes should be automated?
Only processes for which automation is worthwhile, i.e. the costs for automation are measurably amortised. Of course, it makes no sense to automate a process that is carried out once a year for 30 minutes, for example, as the costs exceed the added value. But (!): Context is key! If this process is absolutely necessary to ensure production for the next few days and has often been forgotten, then automation can also be worthwhile here. Example: Extending access authorisations for employees so that hundreds of people are not denied access to the workplace one morning. Nevertheless, we calculate the costs of your core processes, identify avoidable time wasters and then estimate the cost of automation. For us, process automation is not an end in itself.
Does a process analysis need to be carried out?
No, that is your decision and saves costs in the short term. But before a car, for example, goes into mass production, it is also checked down to the last detail, because it is not only the profit that is scalable, but also potential errors. Many processes are linked to a number of other processes that are prone to errors due to poor execution. This is why a lean process mapping with associated optimisation is always advisable. It also gives your company much more transparency about what happens in your organisation on a daily basis.
All information on the maturity level check
We would be happy to carry out a maturity check at your company. This usually takes two weeks and provides you with information on how well your company is digitalised, autonomous and automated and where there is still a need for action. However, the maturity check is more for very digitalised companies that want to go even deeper into automation. During our initial contacts, we will very quickly establish where you need to take action and whether the maturity check is something for later.
