Microsoft 365 Licences: Now is the right time for a licence check

Prices for Microsoft licenses will be adjusted on 1 July 2026. For companies, this means that anyone who doesn't address their licensing situation now must expect higher costs in the future.

The good news: Until 30.06.2026, there is still an opportunity to obtain Microsoft licences at favourable conditions or to optimise existing licence models. Therefore, it is worth taking a closer look at your own Microsoft environment now.

Why many companies overpay for their Microsoft 365 licenses

In many companies, Microsoft 365 licenses have grown over the years. New employees are hired, areas of responsibility change, and additional features are booked. At the same time, existing licenses are often not regularly reviewed. This quickly leads to a license landscape that no longer optimally matches actual requirements.

In practice, however, a very similar pattern emerges in many IT environments. Companies are not primarily paying too much because Microsoft is increasing prices, but because actual usage no longer aligns with the existing licensing model. Typical examples include:

Users who are assigned to overly high license tiers.

Licences for accounts with no active usage.

Booked security or compliance features that are not in use.

Historically developed mixed environments with different license types.

The upcoming price adjustment makes this topic particularly relevant. The higher the license costs, the greater the impact of unused or incorrectly assigned licenses on the IT budget. It is not uncommon for targeted analysis to identify savings potential or for existing licenses to be better adapted to actual requirements.

Additionally, today Microsoft 365 encompasses far more than the well-known Office applications. Many companies only use a fraction of the features they are already paying for. A review of the existing licensing structure therefore not only creates Transparency on costs, but also points out possibilities, to use existing services more efficiently.

Those who wait until just before the next contract renewal often forfeit valuable room for manoeuvre. Now is the right time to review existing contracts, user numbers and licensing models and to set the course for the future.
