Office templates: Obtain directly from SharePoint

31 May 2023

Where is the template?

I'm sure many people are familiar with this problem: I have to write a business letter or create a business presentation, but where are the templates saved?

The previous solution: All templates are stored in a classic network drive on a file server. Only those who can reach the server can open the folder and access the templates. In times of increasingly mobile working, this is of course a problem. It is a little better if the path to the templates is permanently stored in the Office applications. But even then, the file server must be accessible in the background.

So what the classic network drive used to do for us, a central storage location for all templates, feels more difficult in the age of the cloud. Fortunately, Microsoft offers us a very simple, and I think even better, way of dealing with this in a modern workplace.

SharePoint Asset Library

An asset library within SharePoint offers the option of centralised provision of templates. This means that company templates can be conveniently and easily stored, managed and updated in a central storage location. All modern Microsoft 365 app installations then access this storage space fully automatically: - No configuration of Word, Excel & Co necessary. - No dependency on the accessibility of the internal file server

Where can I find these templates as an end user?

Users can simply create a new document within an Office application, e.g. in Word, and then simply select the company templates instead of the standard Office templates provided by Microsoft itself. This means that all business templates are easily and conveniently accessible for end users and can be stored and organised from a central location in SharePoint at the same time.
